Hopefully you had a good last few weeks, I am now back to force you all to fill in more spreadsheets!
Up to now we’ve used only average PM rates to give an indication of the costs per partner, but we need to provide different rates depending on the type of effort.
I have included below a snapshot from the master budget spreadsheet we must fill in for the project that shows the different cost categories.
In our customary spreadsheet at https://docs.google.com/spreadsheets/d/104Rns4A7ciQroaoe-auRdym1jhp3zX2atHA… I added a new tab called ‘rates’. For each partner it shows the different employee types plus ‘NON-PERSONAL COST’ for line items that are only e.g. travel or purchases.
I have then added these as a dropdown on all the line items in the WP pages. For now I prepopulated most of them with the ‘Average (please change) option so as to not throw away the data we already had.
In order to proceed, we need each partner to Fill in at least one of the yellow rates from the categories the EC offers. We advise that using Senior and Junior scientist at least may be more effective but you can use all of them if you need to / want to.
Then, for the WP leaders in collaboration with your WP team members, for each line item, select the correct rate from the dropdown in column B. This will then sum up in the way it did before. At the end, no item should be using the Average rate.
To assist us in filling in the master budget file and to let you check this is all working, each partner tab now also shows not only PM and cost per WP, but also per rate category as well.
For the Purchase costs, I did not add all of the options from the EC budget form as this is a lot of spreadsheet awkwardness but you can note the category in Column N of the WP tabs ‘Comment purchase cost’ using the options under section C In the image below.
I am available to assist in filling this in for those that need help. Please note that the budget will be frozen on Wednesday EoB so this needs to be done urgently.
